About this template

Payslip or salary slip is a document that employers give to employees each time they receive their earnings. The payslip mainly informs the employee of the gross pay, deductions done and the remaining net pay. The payslip also provides evidence of earnings and proof of employment.

Most payslip templates look like a spreadsheet someone printed. This one is laid out as a document: your company identity runs down a coloured rail on the left, and the number the employee actually opened it for; net pay sits at the top of the page in full size, spelled out in words beneath it.

Everything else is still there and still itemised. It is the same information, ordered by what the reader is looking for.

How it differs from the standard payslip

Both templates carry identical information and ask the same questions, so you can switch between them without re-entering anything. The difference is arrangement:

- The standard payslip is a formal, symmetric document; a summary box, then earnings and deductions side by side. It looks like a payroll record, which is what you want for a bank, an embassy or an auditor.

- This one leads with net pay and puts your branding down the side. It looks like something your company issued, which is what you want for the employee.

Pick whichever suits the reader. The figures are the same either way.

What it includes

- Your logo, company name and address in the identity rail

- The employee's name and ID, pay period, pay date, paid days and loss-of-pay days

- Optional extra rows for whatever else you record; designation, department, bank account, tax ID, pension PIN

- Net pay in full size, with the amount written out in words underneath

The totals look after themselves

Gross earnings, total deductions and net payable are worked out from the rows as you type, and recalculated on the server when the document is generated. You cannot end up with a payslip whose total contradicts the lines above it ; which is the most common error in a hand-made one.
The amount in words fills itself in from net pay too, and keeps in step as the figure changes, right up until you type your own wording. After that it is yours and stays put.

Colours and typeface

This template is themeable: pick a preset, set your brand accent, and the rail, the rules and the headings all follow. The layout is built so that works; nothing depends on a particular colour being dark or light, so a brand accent cannot make the page unreadable.

One caveat worth knowing: a logo with dark artwork on a transparent background will disappear against a dark preset. If you use a dark theme, use a logo with a light or solid background.

How to create your payslip

How is this different from the standard payslip template?

Can I put my company logo on it?

Yes, and it sits in the identity rail at the top left rather than being squeezed into a header. Your logo is pulled from your company profile automatically, and you can upload a different one for a specific payslip. If no logo is on file the rail simply starts with your company name instead.

Are the totals calculated automatically?

Yes. The amount in words fills itself in from net pay as well, and keeps in step as the figure changes until you type your own wording, after which your text is left alone.

What goes in the side rail?

The employee's identity and the facts about this pay run: name, employee ID, pay period, pay date, paid days and loss-of-pay days. Below those you can add as many extra rows as you record; designation, department, bank account, tax ID, pension PIN; each as a label and a value. Leave them out and the rail simply ends after the standard fields.

Does it work for weekly or fortnightly pay?

Yes. The pay period is free text, so 'March 2026', 'Week 12, 2026' or '1–15 March 2026' all read correctly, and the period appears directly above net pay. For hourly staff, put the hours and rate in the earnings description — for example 'Regular hours (86 × 2,500)' — so the calculation behind the figure is visible.

Can I use it for any currency?

Yes. Enter your currency as a symbol — ₦, $, £, € or ₹ — and it sits flush against every figure, with the full currency name shown beside each section heading. The separate currency code field is only used to spell the amount out in words, so it reads 'Naira' or 'Dollars' correctly rather than just the digits.

Does the payslip need a signature?

There is no universal requirement, but an authorising name makes the document far more useful to whoever the employee shows it to. You can draw or upload a signature, which prints above the signatory's name and title, or leave it blank to print a ruled line and sign by hand. Many employers instead use the footer note to state that the payslip is computer-generated and valid without a signature.

Will it still fit on one page with a lot of rows?

For a typical payslip, yes — four or five earnings lines and three or four deductions sit comfortably on one page alongside the side rail. Long lists will flow onto a second page, with the signature block kept together rather than split across the break. If you are regularly running past one page, consider grouping components rather than listing every allowance separately.

Can an employee use this as proof of income?

Payslips are the standard evidence of income for lenders, embassies and landlords, and this one shows the full gross-to-net trail, the employer's details and an authorising signature; which is what those reviewers look for. It must reflect pay that was genuinely earned and genuinely paid: producing a payslip for income that was not received is fraud, and it is generally caught when the figures are checked against bank statements or the employer is contacted.
