About this template

Most invoices try not to be noticed. This one does the opposite: the paper itself is pink, the type is electric blue, and the table header is a solid blue band. It is the invoice for a brand that has a personality and would rather its paperwork carried it too.

It is not only decoration. Directly under the masthead there is a thank-you note and a short message, which is where you tell the customer what to do next, sitting opposite the billing details and the due date. Those are the two things a customer needs, and they are above the fold.

How to create your invoice online

  1. Open the template and click Generate.

  2. Enter the invoice number and date, and check your company name and logo.

  3. Write the thank-you message. This is where the payment instruction goes, so be specific.

  4. Fill in Billed to and the due date.

  5. Add one row per item, numbering them as you go. The line total fills itself in, and any rows you do not use stay ruled and blank.

  6. Set the tax rate. Subtotal, tax and total are worked out for you.

  7. Add your contact details, sign if you want to, and download the PDF.

Direct-to-consumer brands, online shops, resellers, creative studios and anyone selling to people rather than procurement departments. It also suits a business that already has a strong colour identity and wants its invoice to match the rest of its material.

Frequently asked questions
Will a pink invoice be taken seriously?

By consumers, yes: it looks like it came from a brand rather than a billing system, and it stands out in a crowded inbox. By a corporate accounts department, less reliably. If you sell to large companies, use one of the plainer templates for them and keep this one for direct customers. The fields are the same either way.

Is it expensive to print?

The paper colour covers the whole sheet, so on a home or office printer it uses noticeably more ink than a white invoice. It is designed to be sent as a PDF, which costs nothing. If your customers print their invoices, choose a template with a white background instead.

What should the message under the heading say?

The action you want taken. Where to send proof of payment, which reference to quote, who to contact with a query. It sits above the table, so it is the part most likely to be read. Do not waste it on a generic thank you, which the heading above it already covers.

What happens if I only add one or two items?

The grid keeps its full seven-row height. The rules and column dividers are drawn independently of the content, so a one-line invoice looks as deliberate as a full one, and the summary rows stay in the same place. Add more than seven and the grid simply grows.

Do I have to number the rows myself?

Yes, the No column is free text so you type 1, 2, 3 as you go. That also means you can use your own item codes or SKUs there instead of a plain count, which is often more useful to a customer querying one line of a long order.

Are the totals calculated for me?

Yes. Each line total is price multiplied by quantity, the subtotal adds those up, the tax is the subtotal times your rate, and the total is the two together. All of it is recalculated on the server when the document is generated, so the figure at the bottom always matches the grid above it.

Can I change the colours?

Yes. The sheet colour, the type and the header band all follow the theme, so you can set the paper and the accent to your own brand. Use a light preset: the table header reverses white type out of the softened accent, and on a dark preset that mix goes the wrong way and the header becomes unreadable.

Where does the signature go?

Bottom right, above a rule, opposite your contact details. Draw or upload one and it prints there. Leave it blank and the rule stays, so a printed copy can be signed by hand. An invoice does not need a signature to be payable, but it suits businesses that hand invoices over in person.
